Correct or Update Imported Records

The importer can update existing contacts from a CSV or Excel file. It matches each row to a contact by ID, email, or phone number. Rows without a match are skipped. Deal imports currently create deals; edit an existing deal from its record page.

Update Existing Contacts from a File​

  1. Open Admin → Settings → Import/Export → Import or CRM → Contacts → Import.
  2. On Choose record types, select Update objects. The screen changes to updating Contacts. Select Continue.
  3. On Add your files, choose CSV or Excel. Select Contact update CSV for a sample if useful. Include a column with the existing contact's Contact ID, Email, or Phone number, plus columns for the fields you want to change. Leave an update value blank when that field should stay unchanged.
  4. Select the file and Upload and continue.
  5. On Map import fields, map the identifying column to the matching contact field. Map at least one additional contact field to update. You may also use Add constant to apply one new value to every matched contact.
  6. Under Match contacts by, choose the Matching field. Only match fields you mapped appear in this picker. If several contacts have the same value, Brixi uses the most recently updated matching contact, so use a unique identifier when possible.
  7. Select Preview 5 rows, use Review and fix for invalid values, and preview again. Select Update contacts when the preview is clear.
  8. Open Admin → Settings → Import/Export → Import History to check the update's saved and failed counts. Spot-check a few contacts in CRM → Contacts afterward.

The update does not create a contact when no existing record matches. Check your matching values and failure details if the results are lower than expected.

Fix Values Before Queuing​

  1. On Map import fields, review every column's record type and CRM field. Choose Ignore field for data you do not want to save. See Map Import Fields for the full mapping steps.
  2. Select Preview 5 rows. Brixi checks the first five rows against field types and allowed values.
  3. Select Review and fix beside a problem column to correct values, or edit the spreadsheet and upload it again.
  4. Preview again after changing a mapping or value. Select Import records or Update contacts only when the preview has no issues.

If every row needs the same corrected value, use Add constant rather than editing each row. The preview checks five rows, so check the rest of the source file too.

Correct Failed Rows and Retry​

  1. Open Admin → Settings → Import/Export → Import History and find the import by its start time. Compare Saved with Failed.
  2. Open the import's ⋯ menu and select Why failed. In Import failure details, use Row, Error column, and Why it failed to locate each problem in your source file. If only some failures are shown, use Download file or the menu's Error file action when available.
  3. Open the original spreadsheet. Correct the affected rows using the reported reason. For example, complete a missing required field, use a valid value for a choice field, or fix a linked record reference. Keep the header row and the columns you plan to map.
  4. Make a new file containing only the rows that failed. Check Saved rows in Brixi before retrying so you do not create duplicates.
  5. Start a new import with the corrected file. Map its fields, select Preview 5 rows, resolve any new preview issues, and choose Import records.
  6. Return to Import History and confirm the new import's Saved and Failed counts.

Import History shows the failure details but does not edit those rows in place. Choose Update objects for a retry meant to update existing contacts; leave it off for rows meant to create new records. Review previously saved rows before retrying.

Edit Saved Contacts or Deals​

For a single contact, open CRM → Contacts, find the record, and edit its details. See Add and Update a Contact.

For a deal, open CRM → Deals, find the deal, and use its Edit action. See Move a Deal Toward Close.

If your role cannot edit the record, ask an admin to check ownership and permissions. Contact Brixi support if a saved change does not appear after refreshing; include the record name and the field you changed.
