Sales users may not see every settings page described here. If you need access to a setting, ask an existing admin to review your role instead of sharing login details or using another user's account.

First Admin Setup Checklist

Use this checklist when setting up a new workspace or reviewing an existing one.

  1. Confirm the workspace name, business details, timezone, and primary admin.
  2. Invite the core sales users, managers, operations users, and admins.
  3. Assign users to the correct teams, groups, or reporting structure.
  4. Review which users can create, edit, import, export, delete, or reassign records.
  5. Confirm lead ownership and visibility rules before bulk importing data.
  6. Connect required channels such as email, WhatsApp, SMS, telephony, calendar, and lead sources.
  7. Review pipeline stages, task types, visit expectations, and follow-up rules.
  8. Check billing, subscription, invoice, transaction, credit, or usage details if your account includes them.
  9. Run admin reports to confirm users, assignments, and system activity look correct.

Common Admin Decisions

DecisionWhat to consider
Who should be an admin?Keep admin access limited to people who manage setup, access, billing, and workspace rules.
Who can export data?Limit exports to trusted roles because exported files may contain customer information.
Who can reassign leads?Managers and operations users usually need this; individual agents may not.
Who can change pipeline stages?Sales users need stage updates, but stage configuration should stay with admins.
Who can view reports?Align reports with team responsibility so users see the data they are accountable for.

Before Changing Settings

Some settings affect live sales work. Before changing roles, fields, channels, pipelines, or automation-related settings, check who depends on the current configuration.

For example, changing a required contact field can affect imports and sales forms. Changing a role can hide reports or customer records from a manager. Changing channel access can stop users from replying through the expected communication path.
