Set Up Leave Rules for Your Team

Leave policies define how time off works for your people: the types they can take, how balances build, what carries forward, and when excess leave is allowed. Create each policy here, then apply it to the teams or roles it covers.

Who can do this?

Admins and HR or workforce managers with workforce permissions can create, update, and assign leave policies.

Create a leave policy

  1. Open Leave Policy.
  2. Click Add Leave Policy.
  3. Enter the policy name and code.
  4. Configure leave types, balances, carry forward rules, unused leave rules, and excess leave rules.
  5. Set whether excess leave is allowed and the maximum excess leave days.
  6. Save the policy.
  7. Apply the policy to the right teams or roles when prompted.

Review existing policies

  1. Open Leave Policy.
  2. Review the table for policy name, code, created date, last modified date, and actions.
  3. Use actions to view, edit, apply, or manage a policy.

What you should see after finishing

The leave policy should appear in the Leave Policies table and should be available for assignment.

Common issues

  • No leave policies found: Create the first policy.
  • Policy does not apply to users: Confirm the policy is assigned to the correct team or role.
  • Leave balance looks wrong: Review carry forward, unused leave, and excess leave settings.

Troubleshooting

Balance math is the tricky part of leave policies. If a balance looks wrong, re-read the carry-forward, unused-leave, and excess-leave settings first — they interact, and most surprises live there. Genuine miscalculations after that check go to Brixi support, along with the policy name and a user whose balance is off. A saved policy that vanishes from the table, or users who can't apply leave under an assigned policy, also belong in a ticket.

A policy that doesn't seem to apply at all is almost always an assignment gap — confirm the team or role is attached before escalating.
