Manage Users and Permissions

Get the right people into Brixi with exactly the access they need — no more, no less. Done well, a new agent sees their leads on day one and sensitive settings stay locked down.

Who Can Do This

Workspace admins and users with permission-management access can invite users, update roles, manage team access, and remove users who no longer need access.

Sales users should contact an admin if they cannot see expected leads, deals, reports, fields, channels, or templates.

Before You Invite Users

Prepare the basic access model before inviting a large team.

  1. List the users who need access.
  2. Decide each user's role: admin, manager, sales agent, field executive, operations, or reporting-only.
  3. Confirm manager-to-agent reporting lines.
  4. Decide which teams should see which records.
  5. Confirm who can import, export, reassign, delete, or bulk update records.
  6. Confirm which users need mobile app access and field workflows.

Invite a User

  1. Open the admin or settings area for user management.
  2. Choose the option to invite or add a user.
  3. Enter the user's name, email, phone number, and role details required by your workspace.
  4. Assign the user to the right team, group, or manager.
  5. Confirm whether the user needs access to CRM, reports, channels, mobile app, field workflow, or admin settings.
  6. Send the invite.

After the invite is sent, ask the user to sign in and confirm that the expected navigation, leads, tasks, and reports are visible.

Update a User's Role or Team

Change role or team assignment when a person changes responsibility, moves to a new sales group, becomes a manager, or no longer needs a certain level of access.

Before saving the change, check the impact:

Good Access Hygiene

  • Give each user the minimum access needed for their role.
  • Review admin access regularly.
  • Remove inactive users.
  • Confirm managers can see the team records they are responsible for.
  • Avoid shared accounts. Each person should use their own login so activity history is accurate.
  • Remove access quickly when a user leaves the organization or changes role.
  • Review export permissions for teams that work with sensitive customer data.

Before contacting anyone, run the access chain: the user's role, their team, and the role's permission template. Most "I can't see X" problems live in one of those three. When all of them check out and access still doesn't match — a manager who can't see their team's records, an agent missing assigned leads — contact Brixi support with the user, role, team, and the exact page or record they tried to open.

Login failures are usually invite status or MFA, so work through the Common Issues table above before escalating those.
