Search Contacts with Advanced Search

Use Advanced Search when a quick filter or dropdown cannot describe the contacts you need. You can combine criteria such as stage, source, owner, activity, and date. Real estate workspaces also offer location, property, enquiry, and budget criteria.

Anyone who can open the Contacts tab can use the search. Results include only contacts their role and team access allow them to see.

Entry pointCRM → Contacts → Advance Search

  1. Open CRM → Contacts and stay on the Contacts tab.
  2. Select Advance Search at the top of the list. On a narrow screen, the button reads Search.
  3. Add one or more criteria. The dialog shows each active criterion and the number of filters applied. Use the × on a criterion to remove it, or Clear all to start again.
  4. Choose Sort results if you want a different order.
  5. Select Search contacts.

The list switches to Showing results from advanced search. Use Modify filters to adjust the search, or Clear filters to return to the regular Contacts list. A search does not change or save contact records.

Choose the Right Criteria

SectionUseful choices
ContactName, Email, Phone, Stage, Category, Type, Source, Tag, Partner, and Sort results.
Activity/ActionsActivity type and date range; status for applicable activities or minimum duration for calls.
AssignmentOwner, Assigned by, and Created by.
Contact datesCreated range and Updated range.
Location (real estate)City, then Locality, and Zone.
Property (real estate)Property type, Subtype, Configuration, and Property / Project.
Budget (real estate)Choose an enquiry type such as Buy or Rent to enable budget presets and a range.

The location, property, and budget sections appear in real estate workspaces. Other workspaces may instead show a Product / Service section. Your available stages, sources, tags, and activity types reflect your workspace setup.

Example: Find Leads for a Follow-up

Choose a Stage and Owner, then use Activity/Actions or Contact dates to narrow the period. Select Search contacts and review the results. If you need this combination regularly, select Save as view in the search dialog before you run the search; see Create and Manage Contact Views.

Example: Find Property Enquiries

In a real estate workspace, choose a City before selecting Locality. Add Property type or Configuration if needed. To filter by budget, first choose the relevant enquiry type under Budget, then set the range. Select Search contacts.

Select Save as view in the Advanced Search dialog after adding at least one filter. Name the view, review the sort order and columns, and select Save view. The view keeps the search criteria so you can open updated results later. Saving a view does not add or remove contacts.

If Results Are Missing

  1. Select Modify filters and remove the most restrictive criterion first. Check the active criteria shown at the top of the dialog.
  2. For a location search, confirm that the city and locality match. For a budget search, confirm the enquiry type and range.
  3. Check whether the contact is visible to your role. Ask an admin about team visibility if you can see only part of the workspace.
  4. Select Clear filters to leave Advanced Search before using the regular quick filters or a saved view. These are separate list modes; choosing another list filter replaces the active Advanced Search results.

Contact Brixi support if a contact you can open directly still does not appear when you search by its exact name, email, or phone, or if a chosen criterion appears to be ignored. Include the criteria and an example record through an approved support channel.
