Calling Data / Lead Data in the Web App
Lead Data is the web app's workspace for lists your team will call. An admin creates a data set, imports records, assigns them to executives, and activates the set. Assigned users find records in My Queue. The data set's Reports tab tracks progress. A Lead Data record can later become a CRM contact.
Entry pointBrixi web app → CRM → Lead Data
In the grouped sidebar, expand CRM and select Lead Data. Some focused roles see Lead Data directly in their sidebar.
Who Can Do What?
| Role | Typical work in Lead Data |
|---|---|
| CRM admin | Create and manage Data Sets, upload Lead Data, assign or redistribute records, change status, and review reports. |
| Sales manager | Open Data Sets and review team work when their access allows it. Ask a CRM admin if a create or assignment control is missing. |
| Calling executive | Work assigned records in My Queue and review call history. In the current web call workspace, only admins and super admins can change disposition or log a call. |
Your workspace may mask phone numbers or limit which records you can see. An account admin can check those permissions.
1. Create a Data Set and Upload Records
- Open CRM → Lead Data → Data Sets and select Create data set.
- Enter a name and select a Source. Add a description, sub-source, owner, or dates if needed. The source and sub-source are inherited by records in this Data Set.
- Select Save and import Lead Data. This saves a draft Data Set and opens the importer. Save draft leaves the set ready for a later upload.
- Upload a CSV or Excel file, map its columns to Brixi fields, and review the validation preview before starting the import.
- Choose Keep unassigned or Assign after import. For assignment, choose executives and percentages that total 100%.
- Start the import and review the result. If rows are rejected, use the import result to correct your file and try again while the data set is still Draft.
You can also open a draft Data Set's Data & Assignment tab and select Open importer. Import is available while the Data Set is Draft; activate it after the records and assignments are ready.
2. Assign or Reassign Calling Work
Open the Data Set and select Data & Assignment. The Currently assigned list shows each executive's record count.
| Assignment mode | Use it when |
|---|---|
| Assign unassigned | New records have no owner. Only those unassigned records are distributed. |
| Redistribute unworked | You need to rebalance records that have not been attempted, including already assigned records. Worked records are left with their current owner. |
- Choose the assignment mode and select Add executive for each person.
- Set each person's Percentage so the total is 100%.
- Select Preview to check the expected counts.
- Select Confirm assignment or Redistribute leads. Confirm the redistribution prompt when it appears.
The data set's Assigned and Unassigned counts and the Currently assigned list should update. Use Leads to check individual records. Select Activate in the data set header to make assigned work available in the team's queue; its status then reads Live.
3. Work the Call Queue
Open CRM → Lead Data → My Queue. The queue shows records assigned to you across live data sets. Use Callback due for callbacks due now, Pending for records without a previous call, Called for previous attempts, or All for everything assigned to you. Search by name or number and use the assigned-date or callback-date filters to narrow the list.
Select a row to read its details, script, and call history. The call workspace offers the dial methods enabled for your account, such as Ring my mobile or an IVR number. Where your role allows web call logging, choose a disposition, add notes, set a callback when needed, and save the call. A due callback returns to the Callback due view.
See Work Your Call Queue for the call workspace and dispositions. See Find Lead Data in the Web App for queue filters and the Calling home view.
4. Review Reports and Call Outcomes
Open a Data Set and select Reports. Data set results shows Total leads, Assigned, Pending, Called, Connected, and Interested. Executive performance shows assigned and called records, calls made, interested records, and callbacks due for each person. Select Export results when you need a file for review.
Use Call Dispositions to inspect recorded outcomes and open their details. If a count looks wrong, first check whether records were assigned, the Data Set was activated, and calls were logged. See Track How Your Calling Team Is Doing for how to read the metrics.
Common Issues
| Issue | What to check |
|---|---|
| Create data set or assignment controls are missing | Ask a CRM admin to check your role. |
| Open importer is unavailable | The Data Set may no longer be Draft. |
| Assignment cannot be confirmed | Add an executive, use each person only once, and make the percentages total 100%. |
| A reassigned record stays with its owner | Redistribute unworked leaves records with call attempts in place. |
| My Queue is empty | Check that the data set is Live, records are assigned to you, and queue filters are clear. |
| Reports show no calls | Confirm that calls were saved with dispositions; opening a record alone does not count as a logged attempt. |
Contact Brixi support if an import stays stuck, a confirmed assignment does not update the counts, or assigned records in an active Data Set remain absent from My Queue after refreshing. Include the Data Set name, approximate record count, and any error message.
